Modernize your old CRM and ERP without stopping the business

Customer records live in spreadsheets, in salespeople's inboxes and in a system someone installed years ago, and part of that history leaves whenever someone does. We find out what your team actually uses, clean and move the data, set up the CRM you choose and connect website and marketplace inquiries to it. The old system keeps running until the new one is verified, and there is a rollback plan.

What does CRM and ERP modernization include?

HappyCXO's CRM and ERP modernization helps small manufacturers and traders replace outdated systems in phases. We audit what's used, clean and migrate the data, configure the CRM you choose, connect website forms and marketplace inquiries, link to your ERP through its API or scheduled exports, and train your team. The old system runs until the new one is verified.

What's included

  • System audit

We interview the people who use it and map where data lives (spreadsheets, inboxes, the old CRM, the ERP), which fields and reports are actually used, and which steps are copied by hand.

  • Data cleanup and migration

We merge duplicates, standardize company names, countries and part numbers, map old fields to new ones, and run a test migration. Record counts and sample records are checked against the source before the full move.

  • CRM setup

In the system you choose (for example HubSpot, Zoho, Salesforce or another), we set up pipeline stages, fields, permissions and email templates. The subscription and admin account are in your company's name.

  • Connecting inquiries

Website forms, shared inboxes and marketplace inquiries (Alibaba.com, for example) flow into the CRM. We use native integrations where they exist, and connectors or scheduled imports where they don't.

  • ERP integration

Customer records, part numbers and order status move between the CRM and your ERP, through its API where one exists and scheduled export and import where it doesn't. Changes inside the ERP itself stay with your ERP vendor.

  • Phased rollout

One team or product line goes first while both systems run side by side. The full switch happens only after a cutover checklist is signed off.

  • Training and SOPs

Short role-based training, plus written SOPs and quick-reference sheets that new hires can follow.

  • Upkeep after launch

Data hygiene, new fields and reports, adding and removing users. Day-to-day CRM upkeep can also run under sales support.

What you get

  • An audit report: data sources, what is actually used, which steps are manual
  • A requirements list and, if you need it, a comparison of two or three systems for you to decide on
  • A full export of the old data, stored in your own drive
  • A field map and migration check log (record counts and sample comparisons)
  • A configured CRM: pipeline stages, fields, permissions, templates
  • Integration notes: what data comes from where, and how often it syncs
  • A cutover checklist and a rollback plan
  • Role-based SOPs and quick-reference sheets

Why we can do this

One of our co-founders specializes in cross-border e-commerce and CRM implementation, and the team has hands-on experience implementing CRMs. Because we also run websites and marketplace stores, we know where inquiries come from and how salespeople use the system day to day.

What stays with you

Which system to buy, the subscription and its cost, data retention and deletion rules, when to switch over, and any changes inside the ERP (handled by your ERP vendor).

Who it's for

  • Customer data is scattered across spreadsheets, salespeople's inboxes and an old system
  • When a salesperson leaves, their customer history leaves too
  • Your old CRM is out of date, no longer supported, or only works on one office PC
  • Website and marketplace inquiries are still copied in by hand
  • Orders live in the ERP, but sales has to ask someone to see their status

Who it's not for

  • You need a custom ERP built or your ERP replaced (accounting, production). We connect to the ERP; we don't rebuild it.
  • You want everything switched over this weekend. We work in phases.

Who does what

What you provide

  • The final choice of system (we can help compare)
  • The subscription and admin account, in your company's name
  • One colleague who knows the current process
  • Decisions on data retention and when to switch
  • Time for your team to attend training

What we do

  • The audit, requirements and system comparison
  • Data cleanup, mapping and migration checks
  • CRM configuration and the inquiry and ERP connections
  • The cutover checklist, rollback plan and launch support
  • Training, SOPs and upkeep after launch

How we keep the switch low-disruption

Any system change takes some adjustment. What we can do is break the risk into small steps, verify each one, and make sure there is a way back if something goes wrong.

  • The old system keeps running

Nothing is switched off until the new system is verified, so no one loses access in the middle of a quote.

  • Back up before anything moves

The old data is fully exported first and kept in your own storage.

  • Test migration first

A small batch goes first; record counts and sample records are checked before the full move.

  • Phased, not all at once

One team or product line goes first, and the rest follow once it works.

  • A written rollback plan

Before cutover we agree the go/no-go checks and how to return to the old system if needed.

How it works

  1. 01

    20-min demo

Tell us what you use today and where it hurts most.

  2. 02

    Audit and plan

After the audit, a phased plan, KPIs and a quote.

  3. 03

    Phased rollout

Test migration, pilot, parallel run, with a weekly report.

  4. 04

    Launch and upkeep

Switch over once verified, then regular reviews and upkeep.

How we start: the first few weeks

  1. Step 1: Interviews and audit

We talk to the people who use the system and map data sources, features in use and manual steps.

  2. Step 2: Requirements and choice

We write the must-have list. If you haven't chosen a system, we compare two or three options against it, and you decide.

  3. Step 3: Backup and test migration

We export a full backup, clean the data and migrate a small batch, then check counts and content.

  4. Step 4: Pilot

We configure the CRM and connect one inquiry source. One team uses it alongside the old system, and we fix what they find before widening the rollout.

How long each step takes depends on your data and how quickly decisions come back. We confirm the timing in the plan rather than promise dates up front.

Tools and platforms we work in

The ERP or accounting system you already run (for example NetSuite, Epicor, Microsoft Dynamics or QuickBooks), connected by API or scheduled CSV/Excel export and import
Connectors
Built-in integrations, or automation tools such as Zapier or Make where they fit
Inquiry sources
Website forms, shared inboxes, Alibaba.com and other marketplaces

FAQ

Do we have to stop using the old system?
No. The old system keeps running while the new one is piloted and verified. We switch only after the cutover checklist is signed off, and there is a written plan for going back if needed.
Which CRM do you recommend?
It depends on what you need. We write the must-have list first, compare two or three options against it (HubSpot, Zoho or Salesforce, for example), and you decide. The subscription and admin account are in your company's name.
Can it connect to our ERP?
Usually, but how depends on the ERP: through its API where it has one, or scheduled export and import of customers, part numbers and order status where it doesn't. We confirm what your ERP supports during the audit. Changes inside the ERP stay with your ERP vendor.
What happens to our old data?
It is exported in full first and kept in your own storage. After cleanup we migrate a small batch, check counts and content, then move the rest. You decide how long the old data is kept.
How long does it take?
It depends on how much data you have, how many systems need connecting and how quickly decisions come back. After the audit we propose a phased plan and agree the scope of each phase with you, rather than promise a date up front.
Who owns the accounts and the data?
You do. Systems, websites, marketplace stores and ad accounts stay in your company's name. Each HappyCXO team member signs in with their own named account that has only the permissions the work needs, and that access is removed when the engagement ends.
Will our customer data be used to train AI?
Where a tool offers the setting, we use business-tier plans or settings that keep your content out of public model training, and we tell you which tools touch your data. Access is limited to what the work needs.
Can you maintain it after launch?
Yes. Data hygiene, new fields and reports, and user changes can stay with us. Day-to-day CRM upkeep can also be part of sales support.

Upgrade the system without stopping the sales team.
